administer mailing lists for your domain first go to: http://mail.yoursite.com:8383.
Log in using admin for the username and password we have provided
to you.
Using
the drop down box that is labeled Administrative
Account Options choose User Administration.
The user which will be responsible for sending the list must
first be granted List Administrator rights.
To
give List Administrator Rights, follow these steps:
- Select
the user from the drop down list, and click the modify button.
- After
the users page is displayed, a set of check boxes appear
near the bottom of the page. Make sure the check box for
"List administrator" is checked
- The
user now has List Administrator Rights and can now administer
lists. You can now logout from the Admin user.
To
create a list, follow these steps:
- Login
under the account that will administer the list, if you
aren't already logged in. NOTE: If logged in under "Admin",
certain things will not work with the IMail list server.
- Type
in a name for the list. When sending out a mail message,
you will address it with listname@yoursite.com.
When entering into the field, just type in the "listname"
and not the complete address.
- Next
you will need to type in a description for the list. This
is more of a helping description of what the list is for.
- Type
in the username who will be administering the list (who
you are logged in as).
- Click
the "create" button.
A new
page will be displayed with the list options. You should now
set the rules for how the list will operate.
- Set
the list options. Your choices: Anyone, Only Subscribers,
Only Moderator. It is a good idea to check "Only the
Moderator can Post" because this will prevent regular
users sending out mail. However, if it a discussion list,
then "Only Subscribers Can Post" should be checked.
- Reply
to List. This option will make replies from subscribers
go to the list, rather than just the sender.
- Disable
List Command. This option will allow users to send
a message to imailsrv@yoursite.com with a list listname
command to receive a list of users on that list. Disabling
it (checking it) will not allow users to get who is on the
list.
- Disable
Subscriptions (Private List). This option will
only allow the List Administrator to add users or take them
away as he/she pleases.
- Enable
Digest Mode. Groups the messages sent to this list
into a digest, then sends the digest periodically. See Digest
Options (on the left side of the screen) for more information.
- Enable
Posters List. Enables the e-mail addresses that
are listed in the poster's list to post to the list.
- Enable
Subject Modification. To prefix a text string to
the subject line of every message sent to the list. For
example, if you enter [Discussion List] as the prefixed
text, a message with the subject, Parrot, will appear on
the list server with the subject line: Subject: re:[Discussion
List] Parrot. The default text is the name of this list.
- Enable
Password. When Enable Password is selected, users
attempting to post to the list must enter a password in
the Subject field. The password must be enclosed in brackets
and colons as shown in the following example: [:password:].
- Enable
Header. Displays a text message at the beginning
of every message sent to the list. Click Header.txt to view
or edit the text message.
- Enable
Trailer. Displays a text message at the beginning
of every message sent to the list. Click Trailer.txt to
view or edit the text message.
- Allow
Unsubscribe based on subject line. When a user
wants to unsubscribe from the list-server mailing list,
most list servers expect the Unsubscribe command to be specified
in the body of mail message. If you want the list-server
mailing list to also accept an Unsubscribe command specified
in the Subject line of the message, select this option.
When selected, the list-server mailing list will accept
the following commands in the Subject line to unsubscribe:
unsubscribe, remove, signoff.
- Maximum
message size. Enter the Maximum message size in
bytes of a message that can be sent to this list. Enter
0 if you want the size to be unlimited.
- Number
of Recipients per Message. You must calculate this
number; it determines the number of recipients each SMTP
process will send to. If you expect under 2000 users subscribing
to the list, enter 25. If you expect over 2000 users subscribing
to the list, divide the expected number of subscribers by
25, and enter the result as the Number of recipients per
message.
After
All of the options were checked or unchecked, the next part
would be to add the users on the list. To start it off, you
just simply put the email address you want to add to the list
in the box for "Modify List User Address List",
click the "Add" button, and repeating until all
the email addresses are added.
If you
would like to have a user subscribe themselves, they can send
an email to "imailsrv@yoursite.com" with the body
of "subscribe listname username"
where the listname is the name of the list, and the username
is the name of the user wanting to subscribe to the list.
The persons email address is already known from the "From",
so the name can be his/her nickname or can even be blank.
